WCSI Privacy Policy

The WCSI privacy policy explains how West Canadian Sports Installations collects, uses, shares and stores your personal information.

What we collect.

The WCSI privacy policy explains what personal information West Canadian Sports Installations collects when you contact us through this website, why we collect it, who can see it, how long we keep it and how you can ask us about it. It applies to the enquiry form and to emails and calls that start from this site.

When you send an enquiry we ask for:

  • your name;
  • your email address, your phone number, or both;
  • the type of project and, if you choose, the kind of work (new build, resurface, repair or not sure);
  • the project location, if you choose to give it;
  • a description of the project, if you choose to give one.

The enquiry form does not accept photos, drawings, plans or other files.

Our website host and form service may also keep technical records, such as the time of a request, your IP address and your browser type, to deliver the pages, keep the service secure and prevent spam.

Why we collect it.

We use your details to:

  • reply to your enquiry and contact you by the email address or phone number you gave;
  • ask follow-up questions about the location, scope and details you sent;
  • prepare an assessment, a proposal or an answer to your question;
  • keep a record of the enquiry so we can continue the conversation;
  • protect the form and our systems from misuse.

We do not use enquiry details for anything unrelated to these purposes without asking you first.

Your consent and how we contact you.

By sending the enquiry form you agree that WCSI may contact you about that enquiry using the email address or phone number you provided. We do not add you to a newsletter or marketing list because you sent an enquiry. If we ever offer marketing messages, we will ask for your consent separately, with a box that is not ticked in advance, and you will be able to withdraw it at any time.

You can withdraw your consent to be contacted, or ask us to stop using your information for a purpose, by writing to the address under Contact Us below. Withdrawing consent may mean we cannot continue to work on your enquiry.

Who sees your information.

Your enquiry is handled by WCSI. It may also be handled by service providers that help us run the website and the form, such as website hosting, the form security check, sending your enquiry by email and WCSI’s email provider. They may only use your information to provide those services to us.

If answering your enquiry needs input from a manufacturer or a specialist supplier, for example to confirm a product or a delivery, we may share the relevant project details with them. We share only what is needed for that purpose.

We do not sell personal information.

Where your information is stored.

Your enquiry is sent to WCSI by email and kept in WCSI’s mailbox with its email provider. The website does not keep a separate database of enquiries. Cloudflare handles the information while it passes through the form. Some providers may store or process information outside Canada. If so, your information may be subject to the laws of that country, including lawful access by its authorities.

How long we keep it.

We keep enquiry details only as long as we need them to answer you, carry out any project that follows, and meet our legal and business record-keeping needs. When we no longer need them, we delete them or remove the details that identify you.

Photos, plans and other files.

The enquiry form on this website does not accept photos, plans or other files. If you send WCSI a file by email or another channel, we use it only to understand the site and prepare an answer, and we keep it with the enquiry under the same retention rules. If you send a file by mistake, tell us and we will delete it.

Cookies and similar technologies.

Cookies are small files that a website stores on your device. Similar technologies, such as local storage and tracking pixels, do the same kind of job. This section explains which of them this website may use, what they are for, how long they last and how you control them.

We sort them into four categories:

  • Strictly necessary. They keep the site working and remember your cookie choice. They are always on.
  • Functional. They support features such as embedded maps or videos, if the site uses them. They stay off unless you allow them.
  • Analytics. They show us which pages are visited and how people find the site, so we can improve it.
  • Marketing and advertising. They measure how our advertising performs and, where enabled, let us show WCSI ads on other sites.

Apart from the strictly necessary ones, we do not set any of these until you allow them. You can use the whole site, including the enquiry form, if you reject them.

Tools we may use

The tools below are the ones WCSI may use on this website. Each runs only if WCSI has enabled it for this site and you have allowed its category.

  • Google Tag Manager (if enabled). Loads the other tools in this list, and only after you have allowed a category that needs them.
  • Google Analytics 4 (if enabled). Analytics. Counts visits and page views and shows how visitors arrive.
  • Google Ads conversion tracking (if enabled). Marketing and advertising. Shows whether an enquiry followed a click on a Google ad.
  • Meta Pixel (if enabled). Marketing and advertising. Measures the results of ads on Facebook and Instagram.
  • Microsoft Clarity (if enabled). Analytics. Shows how visitors move through pages, using click maps and replays of visits.
  • Microsoft Advertising UET (if enabled). Marketing and advertising. Shows whether an enquiry followed a click on a Microsoft ad.
  • LinkedIn Insight Tag (if enabled). Marketing and advertising. Measures the results of LinkedIn ads.
  • Padel Alba configurator (if enabled). Functional. The padel models page can show the manufacturer's online configurator from padelalba.com. It loads only after you press Open the configurator, and padelalba.com may set its own cookies when it does. What you select in it stays with padelalba.com under its own privacy policy; we receive it only if you send it to us.

These providers may receive information about your visit, such as your IP address, your device and browser, the pages you view and the page you came from. Some of them are based in the United States or elsewhere and may process information outside Canada. We do not send your name, email address, phone number or the text of your enquiry to any of them.

Cookies we may set

Names, providers and durations come from each provider's public documentation. A provider can change them, and the list of tools in use can change too. This table is updated when they do.

Your choices

When you first visit, a notice asks you to accept all, reject all or choose by category. Accept all and Reject all are equal choices, and nothing optional is switched on in advance.

You can change your mind at any time. Select Cookie settings in the footer, switch a category off and save. Withdrawing consent does not affect what was done while it was in place. Your browser settings can also block or delete cookies, but a blocked cookie may stop the choice from being remembered.

If your browser sends a Global Privacy Control signal, we treat it as a request to reject optional cookies. You can still turn a category on in Cookie settings.

To learn more, see the providers' own policies: Google, Meta, Microsoft and LinkedIn.

Your rights.

You can ask us to:

  • tell you what personal information we hold about you and how we use it;
  • correct information that is wrong or incomplete;
  • delete your information, or stop using it for a purpose, where we no longer need it;
  • withdraw a consent you gave us.

Send your request to the address under Contact Us. We may need to confirm who you are before we share or change information. We answer within the time the law requires, and if we cannot meet a request we will tell you why.

How we protect your information.

We use reasonable physical, technical and organisational safeguards to protect information against loss, misuse and unauthorized access. No online service can be completely secure. Please do not send payment card numbers, government identification numbers or other highly sensitive information through the form.

Questions and complaints.

If you have a concern about how we handle your information, contact us first so we can try to resolve it. You may also contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or, for British Columbia, the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.

Changes to this policy.

We may update this policy when our practices or the law change. We will show the date of the current version on this page. We will not use information you have already given us for a new purpose without asking you first.
